Weddings & Special Events Package


If you’ve come to this page, you know how limited accommodations in Jamestown are − and how expensive staying in Newport can be. East Bay Bed & Breakfast offers a discounted package for those needing all 4 of our guest rooms for their wedding, special event, family reunion or simply a friends getaway. There is a minimum stay required per room that depends on time of year.

If you do not need the minimum number of nights required for the events pricing, you can still reserve rooms. The rate will be the daily rate, as listed in our online reservation system with our standard deposit and cancellation policies. Please note that there is 2−night minimum on select rooms for most weekends throughout the year. Select rooms have a 3−night minimum during our Peak Summer Season.

With our Events package, you receive:
  • 4 guest rooms each with queen size accommodations & private bath
  • accommodations for up to 10 guests. Our Bayside Room & Lighthouse Room can accommodate a 3rd guest with a twin−size roll−away.
  • early check−in by appointment
  • later check−out of 12 noon
  • later or earlier breakfast based on your event schedule
  • children over 8 welcome. We are unable to accommodate infants & toddlers.
It is your preference if rooms are to be assigned to specific guests or on a first−come, first−served basis.



Deposits



Your deposit will confirm your reservation of all 4 of our guest rooms and guarantee the discounted rate. The deposit charge varies by time of year and is expected at the time of booking. We accept Visa, MasterCard, American Express, and personal checks. Personal checks must be received within 7 days of booking.

Your have your choice of applying the deposit as payment for guest rooms or if guests will be paying themselves, your deposit will be 100% refunded after all guests have checked out and paid for their stays in full themselves.

If you will be paying for your guests, we require a credit card number for our records. Your deposit will be applied towards payment and your credit card will be charged the balance on the day of guest arrival, unless prior payment arrangements have been made. If you would like to pay by personal check, full payment is due 3 weeks prior to guest arrival. There is a $25 charge for returned checks and the credit card on file will be used to charge the return check fee as well as the balance for guest rooms.

If your guests will be responsible for payment, they should contact us directly to confirm a room as part of your package. They will be charged a one−night deposit upon booking. Once guests have checked out, and with all rooms paid for in full by your guests, you will receive a full refund of your deposit. Refunds are issued within 15 days of check−out by company check mailed to the address provided at booking.


Room Assignments



We will need to know if rooms are to be assigned to specific guests (we will need their names) or if rooms will be booked on a first−come, first−served basis. If you would like specific rooms for specific guests, we will need to know that as well. If no direction is provided, we will determine which room will be most suitable for each guest.

If guests will be booking directly with us, please have them tell us that they are with your wedding. We receive many phone calls from people saying they are with a wedding, and we do not want to mistakenly book a room to someone with another wedding party. Please advise your guests regarding the minimum number of nights required. Guests are responsible for payment for the minimum number of nights required, regardless of how long they choose to stay. For example, if your wedding is in our Peak Summer Season with a 3−night minimum, but a wedding guest stays 2− nights, they will be charged for 3−nights (which often is less expensive than 2−nights in a hotel or b&b in Newport).

Three (3) weeks prior to your event, we will contact you to confirm that all rooms have been assigned/booked. At that time, if a room(s) has not been assigned/booked, you may release the room(s) so we can book to a non−wedding guest. If we re−book the room, a charge of $40 per room released and re−booked will be deducted from your deposit. If we are unable to re−book the room(s), a charge for one−night per room unused will be deducted from your deposit. We must be able to book the room for the minimum number of nights required. If you do not want to release a room(s) and a room(s) is unused, the charge for the full stay of that room(s) will be deducted from your deposit.

Because of the minimum number of nights required, we sometimes have guests who will use the room for one night of the stay and then have a different guest use the room for another night of the required stay. If reservations are “split” between different guests, there will be an additional charge of $50 to each guest.

We are not trying to make this complicated, but we have been put in the unfortunate situation on a few occasions of our b&b being reserved through this package to get the reduced rate, but rooms are then not used, people check−out early, or split the room between different people. We are a small inn, and accommodations in Jamestown are extremely limited. We have to turn away countless guests because our house has been reserved with this package. The additional charges listed are to cover our time and work involved in re−booking rooms and/or fully turning over rooms between different guests.


Wedding Day Preparations



In the event that a bride and/or groom is staying with us and will be using our inn for their personal wedding day preparations, please advise us of any visitors you would like us to accommodate such as photographers, beauty and/or hair stylists, deliveries, drivers, etc.

However, our accommodations and facilities may not be used by non−registered guests for bathing, dressing, hair and/or make−up preparations, ironing, etc. There will be an additional cleaning charge of $100 for non−registered guests using our facilities.


Cancellations



Events cancelled with 8 weeks notice from scheduled date of guest arrival receive a full refund. Cancellations done with more than 4 weeks, but less than 8 weeks notice, have their choice of a refund minus a $100 cancellation fee, or a merchandise credit for the full value of your deposit to be used by December 20th of that same calendar year. For our events package, there are no refunds for cancellations done with less than 30 days notice prior to scheduled guest arrival. You must speak directly with one of the innkeepers for a cancellation to be processed.

In the event of “no shows”, early departures, or last minute cancellations (less than 72 hours notice), and if not paid for in full by your guests, any unpaid balances will be deducted from your deposit. Rooms reduced to less than the minimum nights required will be charged the minimum night requirement (if there is a 3−night requirement, but the stay is reduced to 2 nights, the charge will be for 3 nights).

  • This package cannot be combined with any other East Bay Bed & Breakfast offer, promotion, discount, special, or package.
  • Gift certificates for complimentary nights or merchandise credits may not be applied towards your deposit or as payment for rooms.
  • There are no additional discounts given for single accommodations.
  • There are no additional discounts given if your guests do not want breakfast service included.
